# Compliance

> Safety certificates and duties per property, what is missing, and what is about to lapse.

**Repairs → Compliance** shows every property against the safety duties that apply to it
(gas safety, electrical condition, smoke and carbon monoxide alarms, EPC and so on), for the
property itself, a block's common parts, and the agency.

## The grid

Each cell is one duty at one property:

| Colour | Means |
| - | - |
| Green | Met: a valid certificate, a recorded check, or an approved exception. |
| Amber | Met today but needs a person soon: expiring, undated, details needed, or an expired EPC. |
| Red | Missing, expired, remedial work required, or below the minimum standard. |
| Grey | Not required for this property, or advisory only. |
| Hatched | Unknown: a fact the duty depends on is not recorded yet. |

The **% compliant** figure counts properties with no red or hatched cell, rounded down.
Unknown is never counted as compliant.

A status comes only from what you have recorded: the facts about the property, the
certificates filed against it, and exceptions you have approved. AI never decides whether a
property is compliant. Every gap becomes one task for your team, and an hourly check lapses
exceptions when they expire.

## Filing certificates

<Steps>
  <Step title="Send them in">
    Upload certificates in bulk, or forward them to your workspace's certificate email
    address.
  </Step>

  <Step title="Check and file">
    Each certificate waits for a person. AI suggests what kind of certificate it is, which
    property, and the details on it; you check and file it. Expiry dates and statuses are
    never set by AI.
  </Step>
</Steps>

## EPC planner

For a property below EPC band C, the planner shows the gap and the improvement measures listed
on its certificate. It is advice for planning, not a statement of what the law requires.

## Contractor compliance

Each contractor record holds their evidence: public and employers' liability insurance,
Gas Safe, electrical scheme, OFTEC and other registrations, each with its expiry. When a job
goes to a contractor, missing evidence is a warning and expired evidence is a refusal; a
person can override a refusal with a reason, which is kept. Details a contractor gives when
applying are marked as self-declared until you check them.

<Note>
  The duties follow the England private rented sector rules as SortX records them. Check your
  own obligations; SortX does not give legal advice.
