# Contractor invoices

> From the contractor's invoice to approved and recorded as paid.

Every contractor invoice belongs to a repair or a planned visit. Find them under **Repairs →
Invoices**.

<Steps>
  <Step title="Receive it">
    The contractor uploads their invoice in the contractor portal, or you receive it and
    attach the file yourself. An upload only attaches the file: it never approves or pays
    anything.
  </Step>

  <Step title="Record the lines">
    Enter the invoice with its lines (labour, materials, other) and who bears each cost: the
    landlord, the agency, or a recharge to the tenant.
  </Step>

  <Step title="Approve it">
    SortX compares the invoice with what was authorised: the quote the landlord approved, or
    their spend limit, then the selected quote. An invoice over the authorised amount needs a
    written reason to approve.
  </Step>

  <Step title="Record the payment">
    Record the payment once you have paid the contractor. SortX does not move money; it keeps
    the record that it was paid.
  </Step>
</Steps>

## When it is not straightforward

* **Dispute** an invoice you do not accept; the repair cannot close while it is disputed.
* **Credit notes** reduce what is owed on an invoice.
* **Recoveries** record a cost recharged to a tenant and what has been recovered.
* **Void** an invoice entered by mistake, before it is approved.

AI may point out an invoice that does not seem to match its job. It is a suggestion for a
person to check, never an approval.
