1
Receive it
The contractor uploads their invoice in the contractor portal, or you receive it and
attach the file yourself. An upload only attaches the file: it never approves or pays
anything.
2
Record the lines
Enter the invoice with its lines (labour, materials, other) and who bears each cost: the
landlord, the agency, or a recharge to the tenant.
3
Approve it
SortX compares the invoice with what was authorised: the quote the landlord approved, or
their spend limit, then the selected quote. An invoice over the authorised amount needs a
written reason to approve.
4
Record the payment
Record the payment once you have paid the contractor. SortX does not move money; it keeps
the record that it was paid.
When it is not straightforward
- Dispute an invoice you do not accept; the repair cannot close while it is disputed.
- Credit notes reduce what is owed on an invoice.
- Recoveries record a cost recharged to a tenant and what has been recovered.
- Void an invoice entered by mistake, before it is approved.
